Canadian Southern Baptist Seminary & College (CSBS&C) respects the privacy of the personal information of its employees, students, donors, alumni, volunteers and other stakeholders. CSBS&C is committed to protecting the privacy of personal information entrusted to us. In line with that commitment, we seek to be transparent and accountable with respect to the collection, use, disclosure and security of personal information. CSBS&C falls under the Personal Information Protection Act (PIPA).

Media Privacy Policy


Permission/model releases

Canadian Southern Baptist Seminary & College (CSBS&C) does not regularly use model releases nor seek written permission for most of the photography or videos created for both internal and broader campus use. Written permission is not required when making photographs or videos of individuals in public settings or using the resulting photographs or videos in news and editorial contexts, such as on the campus and social media websites. However, written permission (email or paper) is required when media is being prepared for print format. Care will be exercised in subsequent use, and the published context and caption will only imply details about an individual that are known to be true.


Whenever possible, CSBS&C photographers identify themselves and seek verbal permission when making photos. They inform subjects about the potential uses of the photo, such as providing information for a story and/or creating images to more broadly describe the campus, both now and in the future. In instances when an individual asks to not be photographed, CSBS&C photographers comply with those wishes.


Written permission is required, however, for photos or videos of children, or subjects who are primarily being featured in advertisements in which a person’s name, image and/or likeness are being used in a context that implies endorsement.


When a client supplies photos, permission to use them is implied, but CSBS&C will check with the client to make sure the creator and the subjects have granted permission, and that appropriate photo credits are published.



Freelance policies and rights

When hiring freelancers or using work created by freelancers, CSBS&C is commissioning the right to use that work, not the ownership of the work:


•   In most cases, CSBS&C seeks to obtain “first and second serial (reprint) rights”—also known as “first and second editorial rights,” which are defined as the right to publish the material for first and subsequent times. All other subsequent rights remain with the writer, photographer, or illustrator.

•   Any editorial content for SeminaryNews — including writing, photography, or illustration — that is developed outside the CSBS&C Development Office must be done under conditions agreed upon at the time of assignment and subsequently stated in writing prior to publication.


When CSBS&C assigns writing, photography, or illustration, the agreement is put in writing via a standard “rights letter.”
